2. Scope of This Privacy Policy
This privacy policy applies to all personal data collected and processed by Eine Welt Netzwerk Thüringen e. V. in connection with:
- Event registration and participation
- Membership administration
- Photography and video recordings at events
- Use of our online feedback forms
3. Purpose & Legal Basis of Processing (Art. 6 GDPR)
- Organising and running events for members and participants — Art. 6(1)(b) (necessary for the membership relationship)
- Compliance with legal obligations (e.g. accounting records) — Art. 6(1)(c) (legal obligation)
- Internal association communications and event announcements — Art. 6(1)(f) (legitimate interests of the association)
- Publication of photos and videos, newsletter — Art. 6(1)(a) (consent)
4. Photography & Video Recordings
4.1 Consent-based recordings
Where photographs or videos are taken for publication on our website, social media channels (Instagram, Facebook), newsletter, or internal members' area, we will obtain your explicit consent beforehand (Art. 6(1)(a) GDPR).
You may withdraw this consent at any time without stating reasons by contacting us at buero@ewnt.org. Withdrawal does not affect the lawfulness of processing carried out prior to withdrawal.
4.2 Consent form
A separate consent form is provided at each event. Participants may independently consent to:
- Use of photographs in which they are recognisably depicted
- Use of videos in which they are recognisably depicted
Each consent is independent. Declining has no negative consequences for your participation in the event or membership of the association.
4.3 Third-party platforms
Photos and videos published on Instagram or Facebook are subject to the privacy policies of those platforms. A transfer of data to third countries outside the EU may occur as a result. We only publish material on these platforms with your explicit prior consent.
4.4 Right to request removal
You may at any time request that existing photos or videos in which you are recognisably depicted be removed or not published by contacting us at buero@ewnt.org.
5. Online Feedback Form
After our events, we collect anonymous feedback via online forms (e.g. LimeSurvey) to evaluate and improve our work. No personal data such as your name or contact details is collected. Participation is entirely voluntary.
Legal basis: Art. 6(1)(f) GDPR (legitimate interests of the association in improving its events).
6. Data Retention Periods (Art. 13(2)(a) GDPR)
- Member and participant contact data: Duration of membership / participation + 3 years
- Accounting and financial records: 10 years (statutory obligation)
- Event photos and videos: Up to 3 years after the event, unless consent is withdrawn earlier
- Anonymous feedback responses: Up to 12 months after the event
7. Your Rights (Arts. 15–21 GDPR)
As a data subject, you have the following rights at any time:
- Access (Art. 15): Obtain a copy of the data we hold about you
- Rectification (Art. 16): Request correction of inaccurate data
- Erasure (Art. 17): Request deletion of your data
- Restriction (Art. 18): Limit how your data is used
- Portability (Art. 20): Receive your data in a portable format
- Objection (Art. 21): Object to processing based on our legitimate interests
- Withdraw consent: Withdraw any consent given at any time
